Terms and Conditions for WINDA...
1. Introduction
The use of this website and the WINDA database is subject to the following terms and conditionss.
2. Ownership
2.1 Global Wind Organisation (GWO) maintains the website globalwindsafety.org and specifically the WINDA database (the Site) as a service to those who may choose to be trained in or offer training in the GWO Safety Training Standards (“Users”). All material is provided “as is” with no legal responsibility for GWO.
2.2 GWO is legally established as a not for profit association residing in the address Vodroffsvej 59, 2. floor, 1900 Frederiksberg C, Denmark.
2.3 All copyright is reserved and any and all material on the website globalwindsafety.org is owned by GWO, except when expressly stated otherwise.
3. Terms and Conditions Updates or Changes
3.1 The current version of terms and conditions were issued on 16 December, 2019.
3.2 We reserve the right to change the terms and conditions. By registering as a user of the Site and/or using this Site after the posting of notices regarding such changes, you agree to be bound by such changes.
4. Copyright and Trademark Notice
4.1 The Site - including, but not limited to, text, photographs, graphics, video and audio content - is protected by copyright and as a collective work or compilation under the copyright laws of Denmark and other countries. In addition, the manner in which GWO have compiled, arranged and assembled our content is protected by worldwide copyright laws and treaty provisions.
4.2 Names, button icons, text, graphics, logos, images, designs, titles, words or phrases, audio clips, page headers, trademarks, and service names used on the Site are the trademarks, service marks, trade names or other protected intellectual property of GWO, its members or its affiliates.
4.3 You may not use any of such materials for any purpose without the express written agreement of GWO. All content and other elements comprising the Site are also copyrighted works.
5. Use of the WINDA database
5.1 Any individual or organization may make use of the services offered on winda.globalwindsafety.org and are subject to the requirements as laid out below. Users may use the Site only for lawful purposes.
5.2 GWO reserves the right to deny in its sole discretion any User access to this Site or any portion thereof without notice. No waiver by GWO of any provision of these Terms and Conditions shall be binding except as set forth in writing and signed by its duly authorized representative. GWO will not be liable if for any reason the Site is unavailable at any time or for any period.
5.3 GWO will determine, in our discretion, whether Users have breached these terms of use through the use of the Site. If GWO consider that Users have breached these terms and conditions, without prejudice to any other right or remedy GWO may have, GWO may take all or any of the following actions:
- immediate, temporary or permanent withdrawal the Users right to use the Site; or
- immediate, temporary or permanent removal of any posting or material uploaded by a User to our site.
5.4 WINDA is provided as a service to the following user types:
- Delegate User
- Organizational User
- Training Provider User
5.5 By creating a User profile (Delegate User, Organisational User and/or Training Provider User) in WINDA you accept the following terms and conditions:
6. Delegate User
6.1 Delegate Users are individuals, who participate in GWO Standard Safety Training to obtain GWO safety training for personnel working in the wind industry. The Delegate User is required to provide unique identifying information, such as name, address and other information on forms stored on this Site.
6.2 The Delegate User will be granted a unique WINDA ID, and may access and print his/her own personal information at any time. Delegates may change their own email-address, but cannot otherwise change or modify their profile or records uploaded hereto.
6.3 Records of training can be uploaded by GWO certified Training Providers to a Delegate User profile. Records cannot be deleted, but may be deactivated by the GWO administrator upon specific request from any User.
6.4 Request for deletion of Delegate User profile will always be granted if request is from said Delegate User. All other requests for modification or deletion of records or profiles, such as delegate name changes or correcting errors in records upload, are treated on a case by case basis, and at the sole discretion of GWO. Additional documentation may be required.
6.5 Prior to completion of a GWO Safety Training Standard Module, the Delegate User must register in WINDA. By registering a profile, the Delegate User agrees to allow GWO and GWO certified Training Providers to upload records of completed training onto his/her WINDA ID. The Delegate User grants a right to all other Users to view current Training Records uploaded onto his/her WINDA ID as well as the name of the User. Individual Training Records are searchable by WINDA ID only.
6.6 Any WINDA ID will automatically be deleted if no activity has been recorded on the WINDA ID over a period of 48 months. Prior to deletion a notification will be sent automatically to the email-address provided by the WINDA user.
7. Training Provider User
7.1 Training Provider User is a GWO certified Training Provider. As part of the registration process, and prior to completing registration, the Training Provider User must provide proof of certification against the GWO Requirements for Training Providers and one or more of the GWO Safety Training Standard Modules. Please refer to the Requirements for Training Providers and the GWO Safety Training Standards for all applicable details of certification.
7.2 All users representing the Training Provider are required to create a personal Training Provider User profile by invite of the Training Provider’s Site administrator.
7.3 Records of Training on WINDA is not an official document, however it is a digital representation of records kept by the Training Provider.
Upload of Training Records to WINDA must therefore always correspond to the Training Provider’s own original records of training which the Training Provider must keep according to the Requirements for Training Providers. Please refer to the Requirements for Training Providers for full details of requirements for record keeping.
Records must be uploaded by the training provider within 10 days of completion of training. Payment of received training is a commercial issue between the training provider and the course participant and does not affect the requirement to upload a training record within 10 days of completion.
7.4 Fees are applicable to Training Providers, and may be changed from time to time by decision of the GWO Steering Committee. The Training Provider must not have any outstanding debt to GWO.
7.5 Upload of records is subject to prior purchase of WINDA credits. WINDA credits are used to pay for upload of records. WINDA credits can only be used by the purchasing Training Provider. WINDA credits never expire except if the Training Provider profile for whatever reason is discontinued, in which case all WINDA credits are claimed by GWO.
7.6. WINDA credits do not expire, are non-transferable and non-refundable.
7.7 However, in special cases as per clause 7.8 and 7.9. WINDA credits may expire, be transferred or be refunded at the discretion of the GWO Audit & Compliance Committee.
7.8 The Training Provider will automatically be deleted if no activity has been recorded on their WINDA ID over a period of 48 months. Prior to deletion, a notification will be sent automatically to the email-address provided by the Training Provider.
7.9 Training Providers that are deemed in non-compliance with the GWO Criteria and/or delivery of training according to the GWO Standards may be discontinued by decision of the GWO Steering Committee upon recommendation from the GWO Audit and Compliance Committee.
8. Organizational Users
8.1 Organizational Users are usually employers and other stakeholders with a need to validate training records. Searches and validation of records can only be done using a person(s) WINDA ID as unique identifier.
8.2 The Organizational User must have obtained permission from the Delegate User(s) whose records need to be validated to use the Delegate User WINDA id. GWO cannot disclose a WINDA id on the basis of name or other methods of identification.
8.3 If any individual WINDA id need to be verified against one or more specific persons identities, this may be done through accessing the original records of the Training Provider having uploaded the most recent record, as the Training Provider is required to ensure verification of the delegate identity prior to performing training.
9. General Remarks
9.1 Records of Training on WINDA is not an official document but a digital representation of the original records maintained by the Training Provider in accordance with their valid certification as a GWO Training Provider
9.2 GWO grants permission to Users to download, preprint and copy the information, documents and materials (collectively, “Materials”) from the Site for the User’s personal or professional use. Users may redistribute or compile or create derivative works from information gathered in WINDA, subject to the terms and conditions outlined below. The User must not modify any materials printed off or copied in any way.
10. Liability
10.1 The material displayed on the Site is provided without any guarantees, conditions or warranties as to its accuracy. The use of this Site is at the User’s sole risk. Under no circumstances, including but not limited to negligence, shall GWO be liable for any direct, indirect, incidental, special or consequential expenses or damages incurred by reason of its use, including expenses or damages arising from communication failure and/or computer malfunctions associated with use of the Site even if GWO has been advised of the possibility of such damages.
10.2 As a condition of use of this Site, the User agrees to indemnify GWO from and against any and all actions, claims, losses, damages, liabilities and expenses (including reasonable attorneys' fees) arising out of such User's use of the Site, including without limitation any claims that if true would constitute a breach by the User of these terms and conditions. If the User is dissatisfied with any material on the Site or with any of the terms and conditions of use of the Site, such User's sole and exclusive remedy is to discontinue using the Site and request of the System administrator to delete the User profile.
10.3 Nothing herein shall constitute or be considered to be a limitation upon or a waiver of the privileges and immunities of GWO. GWO reserves its exclusive right in its sole discretion to alter, limit or discontinue the Site or any Materials in any respect. GWO shall have no obligation to take the needs of any User into consideration in connection therewith.
11. Your Information
GWO process information about all visitors of the Site in accordance with our Data Policy. By using the Site and accepting the policy, visitors consent to such processing and you warrant that all data provided by you is accurate.
12. Governing Law
12.1 The Danish courts will have the exclusive jurisdiction over any claim arising from or related to the use of, or visit to the Site although GWO retain the right to bring proceedings against Users for breach of these conditions in the Users country of residence or any other relevant country.
12.2 These terms and conditions of use and any dispute or claim arising out of or in connection with them or their subject matter or formation (including non-contractual disputes or claims) shall be governed by and construed in accordance with the laws of Denmark.

GDPR Statements GWO has designed its data privacy policy to be in compliance with the European Union General Data Protection Regulations (“GDPR”). For information on our policies in relation to this, please view our GDPR data protection procedures and architecture.
GWO is the data controller for all data that GWO administrates/registers on WINDA and on its website as described in this policy.
A guide to data protection in WINDA WINDA is designed to enable employers and duty-holders to verify current and valid training records of Delegates/Technicians. All Delegate records belong the Delegate.
To enable this verification, the Delegate must communicate his/her WINDA ID to the GWO Certified Training Provider and allow upload of a training record upon completion of training. Further, he/she must communicate his/her WINDA ID to those persons (legal entities) he/she wishes to enable to verify training (e.g. an employer).
In searches to verify a Delegate’s training, the result will by default show only:
Delegate name and nationality
Delegate valid training and dates
GWO Certified Training provider delivering said training
No other Delegate personal data is shared in any way, unless you perform a search yourself (see below). Delegates are able to access a search history of all searches that includes their WINDA ID and may access name and email-address of users that have performed said searches. Delegates are able to block other users from searching their records by entering email addresses of any user they wish to block
In this privacy notice, we describe the processing, including the use and disclosure of your personal data relating to your registration in the WINDA database (winda.globalwindsafety.org) as a Delegate user, an Organisation user or as a Training Provider user and on our website globalwindsafety.org.

Delegate users’ personal data in WINDA When registering as a Delegate user of WINDA, you agree to the WINDA Terms and Conditions, that allows certified Training Providers to upload training records to your profile, and allows all registered users to verify your training records by entering your WINDA ID provided to them by you.
By registering as a Delegate user of the WINDA database, you agree to our collection and processing of the following personal data:
- Your private email-address or work email-address
- Your full name as written in your passport
- Your nationality
- Your full GWO training history as uploaded by GWO certified Training Providers
- Your WINDA ID, which is generated upon registration. All of the above data is associated with this WINDA ID. The WINDA ID is your unique identification number
GWO’s legal basis for processing the personal data as listed above is in order to perform the agreement (the agreed WINDA Terms and Conditions) with you, cf. GDPR Article 6(1)(b).
WINDA is designed to allow you to enable employers and duty-holders to verify your current and valid training records. To do so, they must also register as users in WINDA, and you must communicate your WINDA ID to them. When you attend a GWO certified training course, you must provide your WINDA ID after passing a Training Module if you wish your training to be accepted as GWO training by employers. When registering for the course you must also bring and show government issued ID such as your driver's license or your passport together with your WINDA ID. The information on your government issued ID is processed by the Training Provider to verify your identity only and is not shared with GWO. We do not register personal information such as your social security number, passport number, gender or birth date in the WINDA database.
Your GWO training may be verified through a search by anyone who you have communicated your WINDA ID to (e.g. an employer).
GWO will at all times maintain an audit trail to be able to document which users have performed a verification search against your WINDA ID. There are no restrictions on who may register as users. If in possession of your WINDA ID, a search result in WINDA will only provide these personal data:
- Your full name as you have entered it (as stated in your passport)
- All current and valid training records that have been uploaded to your WINDA ID, including completion dates of training (expiry dates of validity), name and site of training provider
If you perform a search against another person’s WINDA ID, the Delegate whose training records you have searched will be able to see your name and the email address associated with your WINDA ID.
Likewise, you will be able to access a search history, that includes name and email-address of any WINDA user that have verified your training records through a search in WINDA. You have the ability to block individual users from verifying your records. If you do not perform search against a WINDA ID, your associated email address is never shared with anyone outside of the GWO secretariat. Your email-address is used for purposes of notifying you of changes to your profile, changes to the Terms & Conditions, password retrieval or safety related information from GWO.
Your expired training history can only be viewed in WINDA by yourself and the GWO secretariat.
All your search results in WINDA are logged and may be retrieved by GWO Audit and Compliance committee or the Secretariat. All searches you have performed against a specific WINDA ID is visible to the Delegate user associated with this specific WINDA ID. Subject to legal request, authorities may also gain access to the search log.
We do not share any other types of personal data.
Organisational users’ personal data in WINDA
When registering as an Organisation user of WINDA, you agree to the WINDA Terms and Conditions, that allows you to search the WINDA database for valid training records, if you have been provided with a WINDA ID by a trained Delegate. By registering as an Organisation user of the WINDA database, you agree to our collection and processing of:
- Your job title
- Your full name as written in your passport
- Your work email-address
- Your work phone number
- The name of the organisation that employs you
- The address of your employer
GWO’s legal basis for processing the personal data as listed above is in order to perform the agreement (the agreed WINDA Terms and Conditions) with you, cf. GDPR Article 6(1)(b).
Delegates are able to access a search history of all searches that includes their WINDA ID and may access name and email-address of users that have performed said searches. Except as described above, your email address is never shared with anyone outside of the GWO secretariat. Your email-address is used for purposes of notifying you of changes to your profile, changes to the Terms & Conditions, password retrieval or safety related information from GWO.

All searches you have performed against a specific WINDA ID is visible to the Delegate user associated with this specific WINDA ID. Subject to legal request, authorities may also gain access to the search log.
We do not share any other types of data.
Training Provider users’ personal data in WINDA
When registering as a Training Provider user in WINDA, you agree to the WINDA Terms & Conditions, that allow you to upload training records on trained Delegates and purchase credits as well as searching the WINDA database for valid training records, if you have been provided with a WINDA ID by a Delegate.
By registering as a Training Provider user in the WINDA database, you agree to our collection and processing of:
- Your full name as written in your passport
- Your work email-address
- Name, telephone number and address of the Training Provider
GWO’s legal basis for processing the personal data as listed above is in order to perform the agreement (the agreed WINDA Terms and Conditions) with you, cf. GDPR Article 6(1)(a) and (b).
We may ask third parties, such as Certification Bodies, to verify the information you provide to us as part of the GWO registration and/or audit procedures.
Your work email-address is primarily used for purposes of notifying you of changes to, your profile, changes to the Terms & Conditions, password retrieval and safety related information from GWO. We may use your email address to request further information from you or provide you with HSE relevant information.
Your uploads of training records are saved for statistical purposes as well as ensuring an accurate credit balance and maintain an audit trail.
Delegates are able to access a search history of all searches that includes their WINDA ID and may access name and email-address of users that have performed said searches. Delegates are able to block other users from searching their records by entering email addresses of any user they wish to block.
All your search results in WINDA are logged and may be retrieved by GWO Audit and Compliance committee, the Secretariat or the person whose WINDA ID you have searched. All searches you have performed against a specific WINDA ID is visible to the Delegate user associated with this specific WINDA ID. Subject to legal request, authorities may also gain access to the search log.
We also keep an audit trail of users that you have created and removed from the account as well as the access level that you have provided them.
The training records that you upload into WINDA are visible to anyone that have registered for a profile in WINDA and performs a search against the specific WINDA ID(S). The search results include the Delegate’s name, valid training records, Training completion dates and expiry and the location and company name of the Training Provider that uploaded the training.
Purpose of collecting data
GWO will collect and process your personal data for the following purposes:
- For registration purposes in our WINDA database winda.globalwindsafety.org
- In WINDA, your email-address is registered for notification purposes concerning changes to your profile or the Terms and Conditions, password retrieval or safety related information from GWO
- To allow Delegates information on who has viewed their training records and enable option to block specific users from viewing these records
- If you sign up for a newsletter, we register your email address for this purpose. We will obtain you consent upon the sign up process in accordance with GDPR Article 6(1)(a).
- Regarding Training Provider users’ and Organisation users’ registration, your email-address is also registered, so we can request further information from you
- Audit purposes or defense of legal claims
- In aggregate and anonymized form to produce statistics, analysis and in other ways related to achieve the goals of the GWO
We aggregate and pseudonymize (and anonymize to the extend possible) all personal data to the furthest extent possible.
Disclosure of personal data to third parties
GWO only share your name and valid training history with other registered WINDA users who are in possession of your WINDA ID. If you perform a search against another person’s WINDA ID, the Delegate whose training records you have searched will be able to see your name and the email address associated with your WINDA user profile.
Apart from the above, GWO does not share your personal data with any third party or with companies, organisations and individuals outside GWO, unless you consent to such disclosure or it is required by law, regulators, public authorities (in particular supervisory authorities), relevant accredited organisations or court orders or unless necessary as part of the establishment, exercise or defense of legal claims, e.g. towards legal representation.
Data processors
We use a number of data processors who are providing systems and services to us, including the following:
Microsoft Azure (legal entity residing in Ireland)
Netcompany (legal entity residing in Denmark)
Amazon SES (legal entity residing in Luxembourg)
Other relevant data processors and sub-data processors within the category of providing necessary support (IT, etc.) to GWO and WINDA in order to provide you with a sufficient
Transfer of data to third countries outside the EU/EEA
When you share your WINDA ID with other users, they are able to search and verify your training records from anywhere in the world.
Subject to legal requirements, GWO does not actively transfer personal data to any third party, including third parties outside of EU/EEA.
However, if you share your WINDA ID with other users outside the EU/EEA, and/or if the other user access WINDA from a third country, GWO will theoretically share your training records with that third country in question via a so-called ‘view access’. The legal basis for GWO to be able to share your training record via this ‘view access’ is GDPR Article 49(1)(b).
Some of our sub-data processors have the possibility to use support from third countries outside the EU/EEA via a ‘view-access’. The legal basis for this ‘view-access’ is the European Commission’s Standard Contractual Clauses.

Storage period and deletion of User accounts
GWO does not want to retain unnecessary data.
Delegate and organisational user accounts may be deactivated at any given time upon written request from the user to info@globalwindsafety.org. Deactivation means we will delete your WINDA ID. All records of training associated with the WINDA ID will remain in the system, however, the association between your name/email address and these records will be removed.
Training Provider users accounts may be deactivated at any given time upon written request from the user to info@globalwindsafety.org. Deactivation means we will discontinue your users’ rights to upload records. All uploaded records remain in the system, and the association between the Training Provider’s name, and the WINDA ID’s to which records were originally uploaded will remain in the system to ensure a complete audit trail.
The three types of user accounts will automatically be deactivated after a certain period depending on the specific type of user profile.
Delegates
Delegate user accounts and all data associated with the user type along with the WINDA ID will be deleted after 48 months of inactivity. Activity is defined as either a user login or a training record added to the user profile by a certified Training Provider. Users will automatically be notified in advance of expiry. To prevent the account from expiring log in to the account on a regular basis. GWO will not be able to reactivate expired accounts. Organisation user accounts will be deleted after 12 months of inactivity. Users will automatically be notified in advance of expiry. To prevent the account from expiring log in to the account on a regular basis. GWO will not be able to reactivate expired accounts.
Training Providers
Training Provider users will be deleted after 24 months of inactivity. Users will automatically be notified in advance of expiry. To prevent the account from expiring log in to the account on a regular basis. GWO will not be able to reactivate expired accounts. All users may be deleted (deactivated) by the GWO Secretariat for any reason.
Security of the data
All data is transmitted over the public internet and is encrypted via https.
The database is physically hosted on Microsoft Azure located in Nothern Europe. No physical access to data centres is provided to customers.
Web servers are located within a virtual private cloud. A firewall protects the database by only allowing direct access using credentials from a whitelisted IP address. Application level access controls are in place to ensure data security.
Your rights
As a data subject under the applicable national / EU data protection law, you are entitled to:
- request access to the personal data
- request information about your personal data and the purposes and potential recipients of this data
- have personal data rectified or deleted.
- object to the processing of your personal data as well as the right to data portability
You also have the right to lodge a complaint with your national data protection authority (the Danish Data Protection Agency) or other public authorities governing the protection of your personal data.
Furthermore, you have the right to withdraw your consent. However, our processing based on your consent up until your withdrawal will be legal.

The right to object
You have the right to object – on grounds relating to your particular situation – to processing of personal data where the legal basis for our processing is legitimate interests, as stated above. If you exercise your right to object, GWO may no longer process your personal data unless GWO demonstrates compelling legitimate grounds for the processing which override your interests, rights and freedoms, or the processing is necessary for the establishment, exercise or defence of legal claims.
You also have the right at any time to object to the processing of your personal data for marketing purposes, which includes the right to object to profiling in so far as it relates to direct marketing. If you object to GWO processing for the purpose of direct marketing, your personal data may no longer be processed for this purpose.

Personal Privacy Policy

What supporting evidence is required to support a change of name?
All applications to change names or nationality must be supported by documentary evidence which resemble the acquired name and show the linkage to the previous name, such as certified copies of a marriage certificate or a government or state issued ID with new name in full.
Data held by GWO in connection with the change of a delegate’s name will be processed in accordance with the data protection policy.
What are the grounds for rejecting a name change?
GWO reserves the right not to change name or nationality if the name or nationality includes one or more of the following:
- numbers or symbols;
- punctuation marks other than hyphens or apostrophes;
- too many characters in Forenames/Surname to fit onto the face of the document;
- language which may cause outrage or offence;
- wording that promotes criminal activities;
- a trade marked name, or is subject to copyright, except where the applicant produces written permission from the owner.
Applicable Fees
Fee structure
WINDA is free to use for Delegate and Organisation users. Training Providers are subject to pay applicable fees.
Annual Licensing Fee
The Annual Licensing fee will grant Training Providers the right to use the GWO logo in accordance with the Terms of Use, have their location displayed on the map of Training Providers on www.globalwindsafety.org and get access to WINDA. The Annual Licensing fee is set at 650 Euro per certified training site. Training Providers will not be allowed access to WINDA until payment of the annual licensing fee has been received by the GWO secretariat.
Training records upload fee
When you deliver a GWO course (module), a record of the training must be uploaded to WINDA. The fee for this transaction is calculated according to the United Nations Human Development Index on an individual country-by-country basis.
The price for uploading a record to WINDA ranges from approximately €5.50 to €9.50 for each module. WINDA automatically calculates the fee according to each training provider's registered location. Click here for a price list for WINDA Credits.
For example, if a training provider is based in the United States of America, the 2020 WINDA Upload fee is €9.20 per module. 3 x GWO modules (eg Working at Height, First Aid and Manual Handling), would result in a cost of 3 x €9.20 = €27.60.
A credit card fee for puchase of credits in WINDA may apply. Please ask your credit card company for any fees associated with online purchases.
Any changes to the fee level will be communicated at least three months in advance. As GWO is not-for-profit, it is the policy to provide the WINDA service at as low costs to industry as possible.
As described in point 7.4 in the WINDA Terms & Conditions, Training Providers must not have any outstanding debt to GWO. If you want to purchase 500 or more credits and receive an invoice, please write to info@globalwindsafety.org, including your company name, VAT number and desired number of credits. You are welcome to place an order in advance of registering for your Training Provider account.

WINDA Security, Privacy and Architecture Published: December 16, 2019..
GWO’s Trust Commitment GWO is committed to achieving and maintaining the trust of our Stakeholders. Integral to this mission is providing a robust security and privacy program that carefully considers data protection matters across our suite of services, including data submitted by Stakeholders to our services (“Customer Data”).
Services Covered This documentation describes the architecture of, privacy-related certifications received for, and the administrative, technical, and physical controls applicable to, the services known as WINDA.
Architecture and Data Segregation WINDA is operated in a multitenant architecture that is designed to segregate and restrict Customer Data access based on their needs. The architecture provides an effective logical data separation via a customer-specific unique identifier ( WINDA-ID) and allows the use of customer and user role based access privileges. Additional data segregation is ensured by providing separate environments for different functions, especially for testing and production. The specific infrastructure used to host Customer Data is described in the “Infrastructure and Sub-processors” documentation available.
Control of Processing GWO has implemented procedures designed to ensure that Customer Data is processed only as instructed by the customer, throughout the entire chain of processing activities by GWO. The “Infrastructure and Sub-processors” documentation describes the sub- processors material to GWO’s provision of the WINDA Services.
Functionality WINDA includes email and reporting features. Analytics, templates and other data associated with these features will not be accessed or stored by any third-party.
Audits and Certifications WINDA undergoes security assessments by internal personnel and third parties, which include infrastructure vulnerability assessments and application security assessments, on a regular basis.
Security Controls WINDA includes a variety of configurable security controls. These controls include: • Role-based Access Controls (RBAC): Customers are configured with their permissions and privileges based on their roles within the organization and their use of the WINDA Services, e.g., Training Provider, Delegate or Organisation. • Email Login Verification on registration. • The WINDA IDs will be semi-randomly generated to ensure that they are not guessable and unique. They will be composed of upper case letters and numbers and a randomly generated value. • Training providers can upload and purchase uploads via a HTTPS JSON API. All requests to the API are authenticated using HTTP Basic Authentication. The username and password will be checked against the system, using the same logic as if the user was logging into the website. • Lost Passwords can only be send to the Email Address in the Database connected to the Profile.
Security Policies and Procedures WINDA is operated in accordance with the following policies and procedures to enhance security: • User passwords are stored using a salted hash format and are not transmitted unhashed. • User access log entries will be maintained, containing date, time and source IP address. Note that source IP address might not be available if NAT (Network Address Translation) or PAT (Port Address Translation) is used by Customer or its ISP. • If there is suspicion of inappropriate access to the WINDA Services, GWO can provide customers log entry records to assist in forensic analysis. This service will be provided to customers on a time and materials basis. • Audit and security logs will be kept as long as the profile is active. • Logs will be kept in a secure area to prevent tampering. • Passwords are not logged. • GWO personnel will not set a defined password for a user nor can GWO personnel see or change current passwords. Users are provided unique links via email. Upon clicking such links, a user must create a password in accordance with password length and complexity requirements. Intrusion Detection GWO, or an authorized independent third party, will monitor WINDA for unusual behaviour using network-based intrusion detection mechanisms. GWO may analyse data collected by users' web browsers (e.g., device type, screen resolution, time zone, operating system version, browser type and version, system fonts, installed browser plug-ins, enabled MIME types, etc.) for security purposes, including to detect compromised browsers, to prevent fraudulent authentications, and to ensure that WINDA function properly.
Security Logs All GWO systems used in the provision of the WINDA Services, including firewalls, routers, network switches and operating systems, log information to their respective system log facility or a centralized log server (for network systems) in order to enable security reviews and analysis. Incident Management GWO maintains security incident management policies and procedures for the WINDA Services. GWO notifies impacted customers without undue delay of any unauthorized disclosure of their respective Customer Data of which GWO becomes aware to the extent permitted by law. User Authentication Access to WINDA requires identity verification, which are encrypted via TLS while in transmission.
Physical Security Production data centres used to provide the WINDA Services are hosted by Microsoft Azure. The IT infrastructure that Azure provides to its customers is designed and managed in alignment with best security practices and a variety of IT security standards. The following is a partial list of assurance programs with which Azure complies: • SOC 1/ISAE 3402, SOC 2, SOC 3 • FISMA, DIACAP, and FedRAMP • PCI DSS Level 1 • ISO 9001, ISO 27001, ISO 27018
Reliability and Backup All networking components, SSL accelerators, load balancers, Web servers and application servers are configured in a redundant configuration. All Customer Data submitted to WINDA is stored on a primary database server within Azure datacentres in Northern Europe. All Customer Data submitted to WINDA is stored on enterprise-class disk storage using an Azure SQL Database to ensure DTU-based purchase model provide flexibility of changing compute sizes with minimal downtime. All Customer Data submitted to WINDA is backed up in an encrypted form on a regular basis. Any backups are verified for integrity.
Disaster Recovery GWO has disaster recovery plans in place through Azure where the data is stored. The WINDA Services utilize disaster recovery facilities that are geographically remote from their primary data centres and currently have the following target recovery objectives: (a) restoration of the WINDA Service within two DK business days after GWO’s declaration of a disaster; and (b) maximum Customer Data loss of one business day; excluding, however, a disaster or multiple disasters causing the compromise of all data centres at the same time, and excluding development and test bed environments.
Viruses WINDA does not scan for viruses that could be included in attachments or other Customer Data uploaded into WINDA by a customer. Uploaded attachments, however, are not executed in WINDA and therefore will not damage or compromise WINDA by virtue of containing a virus.
Data Encryption WINDA uses industry-accepted encryption products to protect Customer Data and communications during transmissions between a customer's network and the WINDA Services, including 128-bit SSL certificates signed by a Root Certificate Authority and / or 2048-bit RSA public keys at a minimum.
Deletion of Customer Data Data submitted to WINDA is retained in inactive status for 48 months for Delegates and 12 months for Organisations, after which it is securely overwritten or deleted. In accordance with the Reliability and Backup section above, Customer Data submitted to WINDA (including Customer Data retained in inactive status) will be encrypted and stored on an off-site backup location for an additional 90 days, after which it is securely overwritten or deleted. This process is subject to applicable legal requirements. GWO will update the WINDA Security, Privacy, and Architecture Documentation in the event of a change.
Sensitive Data Important: The following types of sensitive personal data may not be submitted to WINDA: birthdates; financial information (such as credit or debit card numbers, any related security codes or passwords, and bank account numbers); information related to an individual’s physical or mental health; and information related to the provision or payment of health care. For clarity, the foregoing restrictions do not apply to financial information provided to GWO for the purposes of checking the financial qualifications of, and collecting payments from, its customers, the processing of which is governed by the GWO Website Privacy Statement. GWO may request government issued documentation to be uploaded to WINDA if a Delegate wants to change name for example after marriage. This Documentation will be deleted once the delegate has taken a Training Course and being verified in person by a Training Provider or the Account is deleted due to inactivity (see Deletion of Customer Data above)
Analytics GWO may track and analyse the usage of WINDA for the purposes of security and helping GWO improve both the WINDA Services and the user experience in using WINDA. For example, we may use this information to understand and analyse trends or track which of our features are used most often to improve product functionality. GWO may share anonymous usage data with GWO’s service providers for the purpose of helping GWO in such tracking, analysis and improvements. Additionally, GWO may share such anonymous usage data on an aggregate basis in the normal course of operating our business; for example, we may share information publicly to show trends about the general use of our services.
Interoperation with Other Services WINDA may interoperate or integrate with other services provided by GWO or third parties. Security, Privacy and Architecture documentation for services provided by GWO is available on their respective Websites. Details about those Services can be obtained from the Document “WINDAInfraSubprocessors”. Additionally, GWO may contact users to provide transactional information about the WINDA; for instance, through system-generated messages, such as Chat notifications or emails
